This privacy policy explains, in plain English, what information Keyhold collects, why, and what you can do about it. We try to keep this short because privacy notices are only useful if they're read.

01 · What we collect

The basics about you and your property.

When you enquire or sign up for management, we collect contact information (name, phone, email, WhatsApp), property details (address, type, ownership, tenant status), and the records needed to deliver the service (agreements, statements, photos, NOCs).

02 · How we use it

Only for the things you've asked us to do.

We use your information to provide the service you've signed up for, to communicate with you (the monthly update, ad-hoc questions), and to keep records that you or your CA may need. We do not use it for marketing to third parties.

03 · Who sees it

Our team. The vendors we hire on your behalf. That's it.

Property information may be shared with vendors (plumbers, electricians, registration agents) strictly when needed to complete a task you've authorised. Vendors are not given more than they need. We do not sell, rent, or share your data with marketers, brokers, or data brokers.

04 · Your rights

You can ask us to show, change, or delete your data.

  • Access — ask for a copy of what we hold about you
  • Correction — ask us to fix something that's wrong
  • Deletion — ask us to delete your data, subject to records we're required to keep
  • Withdrawal — stop our service at any time after the first 12 months

The detailed terms of any specific engagement are in the management agreement we sign with each owner. This page is the public summary — the operating principles that apply to anyone using our website or service.

01 · Scope of service

What's in — and what isn't.

Our property management service includes tenant placement, rent tracking, agreement support, inspections, repair coordination, society coordination, move-in / move-out support, and monthly owner updates. We do not act as a broker for sale, as legal counsel, as an accountant, or as an interior designer.

02 · Fees & billing

One rate, billed monthly on actual rent received.

Our management fee is 7.5% of monthly rent received (plus GST where applicable). The fee is calculated on rent actually received in the month. Pass-through costs (repairs, registrations, society payments) are billed at cost with prior written approval from the owner.

  • Minimum engagement — one year, then month-to-month
  • No onboarding fee, exit fee, or "platform" fee
  • Owner pays vendor bills at cost — we don't mark up

03 · Owner responsibilities

The few things we need from you.

  • Accurate ownership and contact information
  • Authorisation to act on your behalf for the agreed scope
  • Timely approval of repair quotes and major spends
  • Funding the property's expenses — we don't carry vendor costs
  • Honest disclosure of known issues (legal disputes, pending notices, etc.)

04 · Limits of liability

What we are responsible for — and what we aren't.

We are responsible for performing the agreed scope with reasonable care and skill. We are not responsible for events outside our control — tenant default beyond reasonable follow-up, society decisions, civic actions, force majeure, or property defects existing before our engagement. Liability for any single claim is capped at fees paid in the previous twelve months.

05 · Governing law

Maharashtra, India.

These terms and any management agreement are governed by the laws of India. Any disputes will be resolved in the courts of Mumbai, Maharashtra.

If we charge a fee in error, or if a service we billed for was not delivered, write to hello@keyhold.in with the month and details. We'll review within five working days and refund where appropriate, without dispute. Pass-through vendor costs follow the vendor's own refund policy; we will assist in pursuing where reasonable.
